Terms governing enquiries, bookings and pilgrimage travel services.

These Terms and Conditions explain the rules that apply when you use this website, request information, submit a booking enquiry or purchase a Hajj or ‘Umrah travel service from Al-Hudaa Wal-Furqaan Travels and Tours.

Website prices, dates, airlines, hotels, room arrangements, meal plans, baggage allowances and itineraries may be subject to availability and third-party confirmation. The written itinerary, invoice and booking confirmation issued for your journey will take priority over general website descriptions.

1. Acceptance of these terms

When these Terms and Conditions apply.

By using this website, submitting an enquiry, requesting a quotation, making a payment or accepting a booking confirmation, you agree to the Terms and Conditions applicable to the relevant service.

Where you make arrangements on behalf of another traveller, you confirm that you have authority to act for that person and that the traveller has been informed of the relevant package details, policies and responsibilities.

These Terms should be read together with the Privacy Policy, Booking Policy, written itinerary, invoice and any supplier conditions communicated for the journey.
2. Nature of our services

Travel planning, coordination and pilgrimage support.

Al-Hudaa Wal-Furqaan Travels and Tours arranges or coordinates Hajj and ‘Umrah travel services. Depending on the package, services may include:

  • Package consultation and itinerary preparation.
  • Visa-processing and documentation assistance.
  • Flight reservation and ticketing assistance.
  • Accommodation reservation or allocation.
  • Airport, inter-city and programme transportation.
  • Pre-departure religious and practical orientation.
  • Group communication and pilgrim support.
  • Ziyārah or other activities listed in the confirmed itinerary.

The exact services included in a traveller’s package are those stated in the final written itinerary, invoice or booking confirmation. A service not listed there should not be assumed to be included.

3. Enquiries and booking confirmation

Submitting a form does not reserve a place.

  • A website form, WhatsApp message, telephone call or office discussion is initially an enquiry.
  • An enquiry does not guarantee a visa, flight, hotel, room type, travel date or place in a group.
  • A booking becomes active only after the required information and payment have been received and acknowledged.
  • The company may require signed acceptance of the itinerary, invoice or booking terms.
  • Availability may change before the booking is confirmed.
  • Incomplete, inaccurate or late information may delay or prevent processing.

The company may decline an enquiry or booking where it cannot reasonably provide the requested service, where information is incomplete, where payment requirements are not met or where legal, supplier, safety or operational restrictions apply.

4. Prices, deposits and payments

Payment obligations must be clearly understood.

  • Advertised package prices are normally stated per person unless expressly stated otherwise.
  • Prices may change before confirmation because of exchange rates, taxes, regulatory charges, supplier costs or availability.
  • The final amount payable will be stated in the applicable invoice or written quotation.
  • A deposit or initial payment may be required to begin reservation or processing.
  • Instalment arrangements may be available only where confirmed in writing.
  • Failure to meet an agreed payment deadline may result in cancellation, loss of availability or additional supplier charges.
  • Payments should be made only to an account or channel formally approved by the company.
Travellers should verify payment instructions directly with the company before transferring money, especially where instructions appear to have changed.

Additional costs

A traveller may be responsible for personal shopping, excess baggage, upgrades, medical treatment, private services, unlisted meals, traveller-requested changes, penalties caused by delay or absence, and any other item not included in the confirmed package.

5. Traveller responsibilities

Each traveller must provide accurate information and prepare properly.

  • Provide complete, accurate and timely personal and travel information.
  • Ensure that the passport and other documents meet applicable requirements.
  • Attend required orientation, briefings and document-verification appointments.
  • Meet payment, document, airport-reporting and group-movement deadlines.
  • Review the final itinerary and immediately report any error.
  • Obtain professional medical advice where health or mobility may affect travel.
  • Carry prescribed medication and disclose relevant support needs through the approved process.
  • Follow lawful instructions from immigration, airline, hotel, transport, mosque, Hajj and group authorities.
  • Behave respectfully and avoid conduct that endangers, obstructs or disturbs others.
  • Protect personal documents, money, valuables and communication devices.

A traveller who arrives late, misses a flight or group movement, breaches supplier rules or fails to carry required documents may be responsible for the resulting costs and consequences.

6. Passports, visas and entry requirements

Approval by public authorities is outside the company’s sole control.

The company may assist with visa and travel-document processing, but it does not issue visas and cannot guarantee approval, processing time or entry into another country.

  • The traveller remains responsible for supplying genuine and accurate documents.
  • Passport validity, health, vaccination and immigration rules may change.
  • Authorities may request additional documents or refuse an application or entry.
  • Fees already paid to authorities or service providers may be non-refundable.
  • A visa does not guarantee admission where an authority later refuses entry.
Current requirements communicated in the final briefing and official instructions should take priority over older website or social-media information.
7. Third-party suppliers

Many travel services are provided by independent organisations.

Airlines, hotels, transport companies, visa-processing bodies, pilgrimage authorities, payment providers and other suppliers may provide part of the package. Their own terms, rules and operational decisions may apply.

  • Flight times, baggage allowances, seating and ticket restrictions are controlled by the airline.
  • Hotel room allocation, check-in times, facilities and access conditions are controlled by the accommodation provider.
  • Ground movements may be controlled by transport providers and public authorities.
  • Supplier substitutions may be necessary where the original service becomes unavailable.
  • The company will seek a reasonably comparable alternative where practicable, but an exact replacement cannot always be guaranteed.

Nothing in these Terms removes any responsibility that the company cannot lawfully exclude. However, the company is not the direct operator of every third-party service included in a package.

8. Changes to travel arrangements

Changes may occur before or during the journey.

Pilgrimage travel can be affected by regulatory instructions, supplier availability, weather, crowd control, security, health measures and other operational conditions. The company may therefore need to change:

  • Departure or return times.
  • Airlines, routing or airports.
  • Hotels, buildings, room allocation or meal arrangements.
  • Transport schedules and meeting points.
  • Ziyārah, orientation or group activities.
  • The sequence or timing of programme activities.

The company will communicate material changes where reasonably practicable. A minor operational change that does not substantially reduce the overall service may not entitle the traveller to cancel without the applicable charges.

Traveller-requested changes

Requests to change names, dates, flights, rooms or other arrangements are subject to approval and availability. The traveller is responsible for resulting fare differences, supplier charges and administrative costs.

9. Cancellation, refunds and unused services

Cancellation terms depend on when costs become committed.

Cancellation requests must be made in writing. Refund eligibility depends on the package, date of cancellation, services already processed and the terms of relevant suppliers.

  • Visa charges, airline tickets, hotel reservations and other third-party costs may become non-refundable.
  • Administrative or processing charges may apply where work has already been completed.
  • A refund cannot exceed the amount actually recoverable after applicable charges.
  • Refund processing may depend on when suppliers return funds.
  • No refund is ordinarily due for a service missed because of the traveller’s lateness, absence, illness, conduct or decision not to participate.
  • Travel insurance, where available, is separate from the company’s refund obligations.

The more detailed cancellation schedule and payment consequences applicable to a booking should be stated in the Booking Policy, quotation or invoice supplied before payment.

10. Health, safety and accessibility

Pilgrimage travel can be physically demanding.

Hajj and ‘Umrah may involve heat, crowds, long walking distances, waiting periods, stairs, shared transport and changes to the programme. Travellers should consider their physical and medical readiness before booking.

  • The company does not provide medical diagnosis or replace professional medical advice.
  • Travellers should disclose relevant accessibility or support needs early.
  • Special assistance is subject to feasibility, supplier facilities and official restrictions.
  • Emergency treatment and related costs remain the traveller’s responsibility unless expressly included.
  • The company may require a traveller to be accompanied where independent travel would create an unreasonable safety risk.
11. Conduct and group participation

Respectful behaviour is required.

Travellers must respect other pilgrims, staff, suppliers, religious sites and local laws. The company may take reasonable action where behaviour creates a serious risk, causes disruption or breaches lawful instructions.

  • Threatening, abusive, fraudulent or dangerous conduct is prohibited.
  • Travellers must not obstruct group movement or intentionally disregard safety instructions.
  • Alcohol, illegal drugs, weapons and prohibited items must not be carried.
  • The traveller is responsible for fines, penalties, removal costs or losses caused by personal misconduct.

In a serious case, the company may withdraw group assistance or refer the matter to the relevant authority, subject to applicable law and the circumstances.

12. Events beyond reasonable control

Extraordinary events may prevent normal performance.

The company is not responsible for failure or delay caused by circumstances beyond its reasonable control, including natural disasters, severe weather, epidemic or public-health measures, war, civil disturbance, security incidents, strikes, airport closure, government action, regulatory change, supplier failure, crowd control or transport disruption.

In such circumstances, the company will take reasonable steps to communicate, assist and arrange alternatives where practicable. Additional costs may remain payable by the traveller where they are not recoverable from suppliers or covered by insurance.

13. Responsibility and limitation of liability

Liability is subject to applicable law and the service actually provided.

The company will exercise reasonable care in arranging and coordinating the services it agrees to provide. However, it cannot guarantee that every third-party service will operate without delay, interruption or change.

  • The company is not responsible for a loss caused by inaccurate information or a breach by the traveller.
  • The company is not responsible for items left unattended, lost or stolen unless directly caused by its proven failure to exercise reasonable care.
  • The company is not responsible for indirect or purely consequential loss where exclusion is lawful.
  • Any financial liability may be limited to the amount paid for the affected service where such a limitation is lawful and reasonable.
  • Nothing excludes liability for fraud, deliberate misconduct or any responsibility that cannot lawfully be excluded.
Consumer rights and remedies that cannot lawfully be excluded remain unaffected.
14. Website use

Permitted and prohibited use of this website.

  • You may use the website for lawful personal or business enquiries about the company’s services.
  • You must not misuse forms, impersonate another person, submit false information or attempt unauthorised access.

16. Complaints and dispute resolution

A traveller should report a service issue as soon as reasonably possible so that the company or supplier has an opportunity to address it during the journey.

  • Complaints should identify the traveller, booking and issue involved.
  • Relevant receipts, photographs or correspondence should be provided where available.
  • The company will review the complaint and may need information from suppliers.
  • The parties should first attempt to resolve the matter through good-faith communication.
  • Mediation or another agreed dispute-resolution method may be considered before court proceedings.

Governing law

These Terms and Conditions are governed by the laws of the Federal Republic of Nigeria. Subject to any mandatory consumer-protection rule or agreed dispute process, disputes may be referred to a court of competent jurisdiction in Nigeria.

17. General provisions

How these Terms operate as a complete agreement.

  • If one provision is held invalid, the remaining provisions continue to apply.
  • A delay in enforcing a right does not automatically waive that right.
  • The traveller may not transfer a booking without written approval and supplier acceptance.
  • The company may assign operational responsibilities to authorised suppliers or service providers.
  • Headings are for convenience and do not change the meaning of the provisions.
  • The written itinerary, invoice or booking confirmation may contain package-specific terms that supplement these general Terms.
